Send proofs and obtain version-specific approval

Supply the current proof, handle requested changes and prevent printing from an old approval.

Proof approval is a recorded customer decision about a particular proof version. PressFlow supplies the workflow and private access; your shop creates the proof.

Send the first proof

  1. Open the print job from Print production and review the current artwork.
  2. Use the proof controls to supply the proof file and any customer-facing instructions.
  3. Send it for approval using the supported action.
  4. Confirm the job now shows the proof approval requirement and that the customer workspace displays the current proof.
  5. Check the customer action email's status if notifications are enabled.

Keep the proof representative of what will be printed. Explain any limitation in its colour appearance, finishing representation or scale through your shop's approval wording.

Handle changes

Read the customer's requested changes, amend the design through your normal process and issue a new proof version. The customer must approve the new version. The prior approval remains historical evidence but does not make the new proof ready for production.

Artwork replacement and a materially changed checking result can invalidate related proof decisions. Confirm the current artwork, check and proof agree before starting printing.

When production is blocked

Check the job ticket's next action. A proof approval alone does not settle payment, unresolved artwork checks, missing files or blocking flags. The production gate evaluates all current requirements together.

If an action email is disabled or fails, the proof can still be available in the customer workspace. Fix the email delivery problem and use the supported retry where offered; do not issue unnecessary proof versions merely to trigger another email.

What to record

Use private staff notes for internal reasoning and public messages for information the customer should see. Retain the version history. Never change a customer's approval by directly editing metadata to bypass the workflow.
