Review artwork and resolve checking issues

Accept the current artwork set, request corrections or record a justified manual clearance.

Open WooCommerce → Print production, select the job and open its artwork area. Review the complete set intended for printing, not only the first thumbnail or a previous version.

Normal review

  1. Confirm payment/order context and the job specification.
  2. Preview or download the current files. For a transfer link, retrieve and review the files through your shop's normal external-file process.
  3. Read the basic artwork checks and compare them with the product's requirements.
  4. Check the design in your normal prepress tools where necessary.
  5. Accept the current artwork when it is suitable, or request changes with a useful explanation.
  6. Send a proof if the product/workflow requires customer approval.

Tell customers what to change: the expected finished size, missing bleed, page count or replacement file. “Artwork wrong” creates another support conversation without helping them fix it.

Basic checks and manual clearance

Automatic results cover supported file information and are not a complete print-quality assessment. Some PDFs cannot be read through the bounded checker, and large files may need a manual route. An unresolved check can prevent production even after staff have reviewed the file.

Authorised staff can record a manual clearance with a meaningful reason against the exact current artwork and check result. The reason must meet the form's length requirement, from 10 to 2,000 characters. Record what you checked and why the file is safe for this job; do not enter a generic bypass message.

Changing files or changing the relevant check result invalidates prior clearance and affected approval. Rerunning an unchanged check does not needlessly invalidate an otherwise matching decision.

Versions and locks

Artwork replacement is a new set, with previous-version history retained where applicable. It resets the relevant review, proof and confirmed-date decisions so the new files receive a fresh check.

Starting production locks artwork changes. A hold after production has begun does not reopen the files automatically. Closed/cancelled/refunded contexts and dispatch also restrict actions. Use a new job/reprint where needed instead of modifying the historical source job.

Guest access

The job ticket can renew or revoke a guest customer's access. A renewed ordered-job link lasts 30 days; revocation stops the old credentials. Renewal is not an automatic email. Confirm the recipient and share through the shop's authorised customer communication process.
