Configure customer notifications and diagnose delivery
Control print-job and quote emails, understand queued status and retry current failures.
Guide source reviewed for PressFlow 1.25.1.
Open WooCommerce → Settings → Emails. PressFlow's customer messages use WooCommerce email settings and templates, with queued sending after the relevant change is saved.
Available customer emails
| Purpose | |
|---|---|
| Print job action needed | Required customer action, including a current proof request. |
| Print job production update | A relevant production-stage update. |
| Print job completion date | Confirmed completion-date information. |
| Print job dispatch / collection | Fulfilment information. |
| Print job customer message | A public message posted by staff. |
| Print quote received | Confirmation of a quote request. |
| Print quote offer | The current offer for review and acceptance. |
Edit enablement, subject and heading in the email's settings. Print-job templates support {site_title}, {order_number} and {job_id}; quote templates support the applicable {site_title} and {quote_number} placeholders. Use only the placeholders shown by the relevant email.
Staff notification addresses for artwork/quote/proof workflows are configured separately in Print settings. Changing a customer email does not redirect those staff alerts.
Why a queued message might not send immediately
The queue needs working WordPress scheduled tasks. Changes can be coalesced so customers receive the current message rather than every superseded intermediate state. A disabled email, superseded event or suppressed demo notification is not a current failed message waiting for retry.
Disabling the action-needed email also disables new proof-request emails. It does not remove the proof from the customer's workspace. Decide whether that is appropriate for your shop.
Diagnose a failed email
- Confirm the customer's current email and the applicable notification setting.
- Check whether the item is queued, failed, superseded, disabled or marked sent.
- Verify scheduled tasks run on the host.
- Send a normal WooCommerce test/order email through your configured mail provider.
- Check mail-provider logs and authentication for the sending domain.
- Once delivery is repaired, use the supported retry for the current failed notification.
A sent status records transport acceptance. It does not establish inbox delivery or reading. Check spam and provider logs before recreating an order or issuing another proof.
Private files are not attached as artwork bytes to customer notifications. Access routes are guarded, but guest links still grant access and must be treated as private.
