Manage quote requests and send a buyable offer
Turn a specification into a versioned, tax-aware offer and a normal WooCommerce payment journey.
Guide source reviewed for PressFlow 1.25.1.
A quote request captures a customer's specification and contact details for staff review. It is not an order or payment. Quote-only products use this route; priced products can also offer a request-a-quote option where enabled.
Review a request
Open WooCommerce → Print quotes and select the quote. Read the specification, artwork or transfer link, contact details and preferred date. Check that you can supply the requested job. Add staff-only notes where appropriate and keep the customer informed through the quote's supported actions.
Prepare an offer
- Use the quote's Prepare offer order action.
- Enter a positive complete-job price excluding tax. This quote-entry field is always exclusive, even when live catalogue prices are entered including tax.
- Review the resulting WooCommerce order: customer, addresses, product, currency, taxes, shipping/collection and any other relevant charges.
- Keep the offer order unpaid in the supported pending/failed state, with the expected single print-job item.
- Set the offer's delivery/collection information, expiry and terms; review the required confirmation and publish the offer.
The offer expiry is a shop-timezone deadline. The editor supplies a default period, but you can choose the supported expiry for that offer. Do not treat a customer's preferred date as a confirmed production commitment.
Customer acceptance and payment
Customers find quotes in My Account → Quotes, or through the quote's private guest access route. They review the current offer and terms, then accept and continue to the WooCommerce payment journey. Accepted but unpaid offers still need payment. A quote's offer expiry and its private access route are separate from the 30-day guest links used for ordered print jobs.
Change an offer safely
Withdraw a live offer before amending its commercial terms. Publish a revised version for the customer to review. An earlier acceptance does not cover changed terms, and stale payment paths are guarded against paying a superseded offer.
Once the order is paid, handle its jobs through the normal artwork and production workflow. Do not edit a paid order merely to simulate a revised pre-sale offer.
Sending and resending
Use the current offer's send/resend controls. Quote notifications use the email queue; after a mail failure, fix delivery and retry the current failed notification. Replacing a guest access link invalidates the old route; do not assume a renewal has automatically emailed the customer unless you used an explicit send action.
A useful acceptance test
Create a quote-only product, request a job as a customer, prepare an exclusive-price offer, check tax/shipping, publish it and pay through your test gateway. Repeat with a withdrawn/revised offer and an expired offer. Confirm the paid job enters production with the correct specification.
