Worked examples
Worked example: a bespoke product sold by quote
Capture a useful enquiry and test offer review, acceptance and payment without inventing a catalogue price.
Guide source reviewed for PressFlow 1.25.1.
Use quote-only mode when staff need to assess production before promising a price, such as a bespoke exhibition display or unusual multi-part print job.
Create the product
- Create a draft simple product with a customer-friendly title and description explaining the service.
- In Print product setup, choose Request a quote.
- Add the dimensions/options your team actually needs to estimate the work. Use number limits and compatibility rules rather than relying on a free-text brief for every essential value.
- Add artwork guidance and an optional file/transfer route as appropriate.
- Review and save the enabled configuration, then publish when ready.
The catalogue should say Request a quote. A nominal regular price, invalid minimum or promotional percentage must not make this product look immediately buyable.
Request and review
As a customer, submit a specification with contact details, a useful brief and requested date. Confirm the request acknowledgement and the staff quote entry. A preferred date is not yet an agreed production deadline.
Staff open Print quotes, review feasibility and prepare an offer order. For this teaching exercise, enter £250 excluding tax for the complete job. Check the customer, currency, taxes and any shipping/collection charges in WooCommerce.
Set a clear expiry and terms, confirm the order review and publish the current offer. The customer can review through their account or authorised quote link, accept and pay through WooCommerce. Do not mark the quote paid merely because it was accepted.
Test a revision
Before payment, withdraw the current offer, change the scope/amount and publish a revised version. Confirm the old acceptance/payment path cannot silently pay the new terms. Test the offer expiry using a controlled test case.
Once paid, review artwork/proof requirements and use the normal production ticket. Quote conversion does not bypass print readiness.
Teach staff the difference
“Request received”, “Offer ready”, “Accepted — payment next” and “Order placed” are different milestones. Send the correct current offer, and use a public customer explanation for any changed date/scope. Keep internal costing notes private.
