Assign teams, machines, priorities and completion dates

Plan the daily queue while keeping capacity decisions under staff control.

Use planning fields to make work visible and assign responsibility. PressFlow's daily queue is not an automatic capacity scheduler or a guarantee that two jobs can use the same machine simultaneously.

Set up resources

Open WooCommerce → Print settings and add your teams and machines. Use clear names that staff recognise. The lists use stable internal IDs and support up to 50 entries each. Keep the identifiers stable when renaming a resource.

Staff assignments refer to actual eligible WordPress users. Give people the appropriate shop permissions instead of sharing one administrator account.

Plan a job

Open its production ticket and set the relevant team, machine, staff assignment, priority and confirmed completion date. Priorities include Normal, Urgent and Deadline critical. Record a reason for a significant date/assignment change where the workflow requests it.

The confirmed date is a completion target. It is not a production start time, courier booking or resource reservation. Check actual capacity, setup time, finishing dependencies and artwork readiness before confirming it.

Work the daily view

Use Today, Tomorrow, Overdue, Week or No date alongside team/machine/staff filters. Dates follow the WordPress shop timezone. A No staff/unassigned filter can include jobs assigned to a team but not an individual.

Use the list/board to investigate blocked or held jobs. A job with a date still needs payment, artwork and proof requirements resolved before printing.

Date changes and customer communication

Changing a confirmed completion date can trigger the configured customer date update. Keep private planning notes separate from the explanation you want the customer to receive. Artwork changes may invalidate a previously confirmed date; recheck the ticket rather than assuming the original target survives.
